A laboratory report can support equipment acceptance only when its sample and operating context match the agreed test. Before a packaged wastewater order, prepare a sampling and decision sheet with the owner, designer, supplier and laboratory. This guide uses BOKAWATER MBR item 00344 as a catalog reference; it does not claim that the item has passed a particular discharge or reuse test.
1. Identify exactly which water and operating case the test represents
Draw the treatment train and give every proposed sample point a permanent identifier. Distinguish the package outlet from water after disinfection, storage, blending or further treatment. Mark which point is used for contractual equipment acceptance and which is required by the receiving authority. If they differ, retain both purposes instead of assuming that one result answers both questions.
Attach the operating record for the test window: actual influent volume, occupancy or production activity, relevant influent analysis, temperature, process settings, sludge actions, outages and alarms. Define the prerequisites for starting an acceptance run and who can confirm them. A trial during startup, unusually low loading or an interruption should carry that qualification; do not silently compare it with a different agreed duty.
2. Have the laboratory define a parameter-specific collection plan
EPA's historical sampling procedure distinguishes a grab sample describing conditions at collection from a composite describing a collection period. The appropriate approach depends on the objective and applicable requirements. Ask the laboratory and project engineer to select the sample type for each parameter; neither a convenient bottle nor a single universal composite plan is an acceptance method.
Use one line per analyte to request the method, units, reporting limit, bottle, preservation, holding-time basis and transport instructions. Name the sampler and laboratory, agree access and collection times, and arrange the required quality controls. Record sample IDs, start and end times where relevant, flow information, field measurements and each custody transfer. Keep deviations visible rather than completing missing fields from memory.
3. Review validity and performance as separate decisions
First check whether the planned operating case and collection instructions were met, and whether the laboratory flagged any limitation. A missed collection, failed preservation check or unsuitable reporting limit requires a documented review. An invalid result is not evidence of satisfactory performance, but repeating a test must not erase the original report or hide a genuine adverse result.
Then compare the usable evidence with the signed requirement using its stated units, averaging basis and decision rule. Agree in advance who reviews exceptions, orders corrective work, authorizes a repeat and controls water awaiting a decision. Ask BOKAWATER for the current configuration sheet and a project-specific acceptance proposal with your influent and target. A process name or clear-looking sample does not establish compliance, disinfection effectiveness or permission to reuse the water.
Data to collect before comparing proposals
| Parameter / interface | Unit / format | Why it matters |
|---|---|---|
| Acceptance record | Evidence to retain | Decision to agree |
| Purpose and boundary | Outlet diagram; point ID; downstream stages | Separate equipment test from authority monitoring |
| Operating window | Flow; loading; temperature; settings; interruptions | State prerequisites and excluded conditions |
| Parameter schedule | Analyte; units; method; reporting limit | Match each result to its signed requirement |
| Collection design | Grab or composite; interval; flow basis | Laboratory and engineer confirm suitability |
| Handling and custody | Container; instructions; timestamps; transfers | Record deviations and laboratory qualifications |
| Quality review | Field records; required controls; report flags | Resolve validity before judging performance |
| Exception and repeat | Original result; reason; action; authorization | Preserve the first report and repeat rationale |
| Release decision | Reviewed results; responsible signature; water route | No unapproved discharge or reuse is inferred |

Historical procedural context: sections 3.3.2 and 4 distinguish representative effluent locations and grab/composite sampling; sections 1.5.2, 2.2 and 9 address custody, handling and field records. This is not asserted as the current applicable procedure or law for a buyer's jurisdiction. The project acceptance matrix and decision gates below are original procurement guidance, not an EPA-prescribed universal test. No discharge limits, fixed sampling period, preservation recipe or compliance guarantee are adopted.
